[RIDE] - Special Education Census Data Collection Schedule |

Here is the schedule for the Special Education Census Collection:
By the end of the day on December 4, 2009 – your special education census should be completed, all maintenance reports run on your census and all errors corrected. (Please note: Disregard Report 42 at this time, those students do not need to be addressed for this data collection.)
Monday, December 7, 2009 the Special Education Census data collection starts. At that time, your Data Manager can download your Special Education and upload it into the new Special Education Submission Module. (Please note: the Sped Submission Module replaces the SRM). Guidance for this will be provided to your Data Manager at a later date.
You will have from Monday, December 7 through Friday, December 11, 2009 at 12:30 pm to complete the data submission process and resolve all of your errors. Please be considerate of others and address your errors as soon as possible. If all districts complete this phase earlier than December 11, we will start the Duplication process earlier than December 14th .
On December 14, 2009 the Duplication process will begin and will continue until Wednesday, December 16 at 12:45 pm. If your District has any duplicates, they must be resolved and corrected prior to Wednesday, December 16 at 12:45 pm.
On Wednesday, December 16th at 1 pm, the system will be taken offline and be unavailable for the remainder of the day.
On Thursday, December 17th, the Special Education Census will be back up and running.
Please plan accordingly and do not wait until the last minute to complete your census..
Here are some steps that you may find helpful….
__ Send out notification to your schools and staff at least a month ahead of time to let them know that you need all pertinent
information concerning new IEPs or IEPs that have been updated.
__ As these IEPs come to you, be sure to Add any new students, exit anyone who has left your census and update students’
records on your census.
__ Run All of your Maintenance Reports and make the necessary modifications to your census to address any errors.
(For this data collection, you can disregard Report 42.)
** If you make any changes to your census after you have run your maintenance reports, you should run them again to ensure that your census is error free.
After December 4, 2008, please do not add any new students to your census or update any students’ records on your census unless you are addressing errors from your maintenance reports. Do not add or update any students’ records (unless there is an error) until after the duplicate error resolution process is completed and we contact everyone to say the census is back up and running.
