Here is a set of common questions and answers as related to
preparing the student records for state assessment.
Q. What if we are running behind and unable to complete all of the updates by the deadline (Dec 10th)?
A. We will ship the updated student information based on the records you submitted for the October membership to the testing companies. Testing labels will then be
generated, test results will be analyzed and disaggregated based on the demographic and program information you submitted and updated, and used to classify your schools in terms of academic performance and accountability by NCLB. It is therefore critical that we have the most accurate
information by the set deadline.
Q. We took care of the few withdrawals and transfers in Our district, are we all set?
A. No, you will also need to update and the student demographic and program information to ensure they are accurate and up-todate;
Q. How do I code a student who's transferred from School A to School B within the same district?
A. Code the student as a 'Withdrawal' for School A (do not delete record), add/code the student as 'New to School' for School B (new record, same ID).
Q. How do I code a student who's dropped out, or transferred to another district or State?
A. Code the student as a Withdrawal (do not delete the record).
Q. How do I code a student who's new to the district and school?
A. Add/code the student as 'New to School' and 'New to District' (new record, new ID).
Q. How do I code a student who was in the school system last year, but showed up AFTER October 1st?
A. Code the student as 'New to School' (new record, same ID as used in last year). If the student moved to and attended a school in another district or state during
the period of 'absence', code the student as 'New to District' as well.
Q. How do I code a student who moved from School A to School B, and came back to School A?
A. Code the student as a Withrawl for School A first (do not delete), then add/code the student as 'New to School' for School B (new record, same ID), and finally add/code the student as 'New to School' for School A (new record, same ID).
Q. How do I delete a student record?
A. Deleting a student record is not permitted unless it is due to data entry errors. To delete a student record because of simple data entry errors, please email
Melissa Cabral rid00855@ride.ri.net with information on student ID, name and school name.
Q. I found errors that were related to October membership submission, who do I contact to resolve the problem?
A. Please contact your district data manager first and discuss if a resubmission is needed; Your district data manager will then work with Dr. Ken Gu (kengu@ride.ri.net)
at RIDE to resolve the problem.
